Redesigning YUPEX’s Internal Vehicle Management System

A full redesign of YUPEX’s internal system to streamline vehicle management, automate manual processes, and introduce clear status tracking from intake to delivery.

Overview

Client: YUPEXMy role: UX/UI/Visual Designer

Project background

YUPEX exports over 2,000 cars annually. Behind the scenes, their internal platform handles everything from vehicle intake to pricing and export logistics. However, the legacy system relied heavily on manual data entry, siloed views, and unclear interfaces — leading to inefficiencies and errors.

They asked us to redesign the system interface, with a focus on:

  • Reducing manual workflows
  • Creating clear overviews of tasks and vehicle statuses
  • Improving usability for non-technical staff

Challenge

Before jumping into design, we sat down with YUPEX's internal team, including vehicle coordinators, pricing staff, and export assistants to get a full walkthrough of their daily process:

  • From vehicle intake through to auction and delivery
  • What happens when a car arrives? Where does the data go? What needs to happen next?

They openly shared the pain points and manual tasks that slow them down including:

  • Copy-pasting vehicle details between systems
  • Manually tracking auction status in spreadsheets
  • No way to track or visualize the status of a vehicle (e.g., intake, priced, ready for export)
  • Unclear vehicle statuses leading to missed action.

This made it clear that a new system needed to offer real-time status tracking, centralized information, and smart task visibility all within a clean, intuitive interface.

Journey mapping

Before beginning the design work, we collaborated closely with the YUPEX team to map out the entire journey a vehicle goes through, from intake and documentation to auction, sale, and final delivery. This exercise allowed us to understand the full sequence of tasks and team responsibilities, identify key manual bottlenecks and gaps in data handling, and lay a solid foundation for implementing status tracking and a more structured dashboard. By visualizing the process end to end, we could clearly see where the system needed to support users more intelligently and proactively.
